Why errors scale with the estate

A business with one meter can check its bill in ten minutes. A business with sixty meters across twenty sites, two suppliers and a mix of contract dates has six hundred invoices a year, and the error rate does not fall because there are more of them. Sites open and close, meters are swapped, tenants change, and every change is a chance for a supplier’s system to carry the wrong rate, the wrong meter class or the wrong VAT status forward.

Multi-site estates also tend to have the problems that are hardest to see from a single invoice: a site that was sold still being billed, a meter that was removed still carrying a standing charge, or two suppliers both billing a site after a switch.

Setting validation up to run continuously

Build the site and meter register. Every site, every MPAN and MPRN, meter serials, contract references, rates, start and end dates, VAT and levy status. This is the master against which every invoice is checked.
Get data, not just PDFs. Most suppliers can provide invoice data electronically for multi-site customers, and half-hourly data where meters allow. Validation against data is fast; against PDFs it is slow.
Validate monthly. Rebuild each invoice from the register and the consumption, flag differences, raise disputes while they are small and inside any time limits.
Track to resolution. A dispute log with values, dates and status, followed until the credit lands.
Review the register quarterly. Site changes, meter changes and contract changes update the master, so the next month’s validation is checking against reality.

Linking validation to procurement

The register that validation needs is the register that portfolio procurement needs. Validated consumption by meter is what a supplier prices; corrected meter classes and capacities are what keep standing charges right under the new contract; and aligned end dates are what let an estate be bought as one. Organisations that run validation and procurement separately often find the procurement team quoting on consumption the validation team knows is wrong.

Our multi-site business energy page covers the procurement side; business energy procurement covers strategy. The water equivalent, which has the same problems and often larger refunds, is handled by our sister business, The Business Water Shop.

Frequently asked questions

How often should a multi-site business validate its energy invoices?

Monthly, as invoices arrive. Annual validation finds the same errors a year later, when some are outside the recovery window.

Can suppliers provide invoice data electronically?

Most can for multi-site customers, as spreadsheets or data files, and half-hourly consumption data where meters allow. Ask at contract stage.

What is a site and meter register?

A master list of every site, MPAN and MPRN, meter serial, contract reference, rate, date and tax status, maintained as the reference every invoice is validated against.

Should all our sites be on one supplier?

Often it simplifies validation and procurement, but not always; the quotes decide. Aligning contract end dates matters more than a single supplier.

How do we find sites we are still being billed for after selling them?

By reconciling every meter on every invoice against the register each month. Orphaned meters show up as invoices with no matching site.

Does Clearsight Energy run validation for multi-site customers?

Yes, as a continuous service alongside portfolio procurement.
