School gas contracts: term-time heating, holiday lulls, MAT consolidation
Schools sit on tight delegated budgets and the gas bill is one of the bigger lines you can act on. Demand is heavily seasonal. Winter heating in classrooms, kitchen ranges through dinner service, hot water for sports facilities. There’s a notable drop during half-terms, Christmas, and summer holidays. We compare suppliers across the open UK market with the school usage shape and term calendar in mind, not a generic year-round profile.
The mechanics of switching gas are the same as for any organisation. We cover them in our guide to switching business gas. But school-specific questions matter: how the contract handles VAT (some schools qualify for the reduced 5% rate), how MATs handle multi-academy consolidation, and how to route procurement through compliant frameworks like LASER, ESPO, or YPO without losing market access.
Our wider business gas service covers the whole UK market. For schools we also look at half-hourly DM metering on larger sites, biomethane options that align with local-authority climate plans, and CCL relief where applicable.
Multi-academy trusts and framework procurement
MATs typically save 5–15% over individual academy contracts by consolidating all schools onto one gas supplier with volume-tier pricing. Some MATs procure through public-sector frameworks (LASER, ESPO, YPO, Crescent Purchasing); we can quote alongside frameworks rather than against them, so the trustees see a clean comparison. The framework route is fine. Sometimes it’s the best route. But it’s never the only option worth checking.
VAT and CCL on school gas
Charitable status schools (most maintained, academy, and independent schools) qualify for 5% VAT on the proportion of gas used for non-business activity, plus 100% CCL relief on the same proportion. The supplier needs the VAT declaration form to apply the reduced rate from day one. We submit it alongside the contract so you’re not paying 20% for the first three months.
Term-time profile and contract length
Your gas profile drops sharply during holidays. Some suppliers price that variability fairly, others penalise it. We route to suppliers whose contracts don’t punish low-demand months. On contract length, 24- or 36-month fixed contracts usually beat 12-month deals for schools because the budget certainty matters more than the optionality.
| What we compare | What it means for your school |
|---|---|
| Unit rate (p/kWh) | The biggest cost. Compounds across winter heating months. |
| Standing charge | Daily fixed cost per meter. |
| VAT & CCL treatment | Whether the supplier processes 5% VAT and CCL relief cleanly. |
| Term-time variability | How fairly the supplier prices holiday low-demand months. |
| Contract length | 1–3 years; longer locks rate, shorter keeps flexibility. |
| Framework alignment | Can sit alongside LASER, ESPO, YPO comparisons. |
